Transaction and finance core · Quote to month-end close

Orders, purchasing & accounting Status:Coming Q1 2027

Three spreadsheets become one set of books

The Cardo Maximus transaction and finance core, for factories of 30 to 300 people: quote to cash, requisition to payment, general ledger and month-end close, balance sheet and income statement, on the same data as production orders, shop-floor reporting, inspections and lot numbers. Sales sees stock and schedule load while quoting; nobody reconciles three spreadsheets at month-end. Statutory tax filing and payroll run alongside your existing accounting and payroll software for now.

Orders, purchasing & accounting

You can see a walkthrough today: leave your contact details and we'll set it up.

Where you are today

  • One spreadsheet for quotes, one for orders, one for shipments, and month-end never reconciles

  • Purchasing doesn't know what the floor is short of, and the floor doesn't know when material will arrive

  • Accounting spends every month chasing sales for paperwork and the warehouse for stock counts

Two ways to start today

Where you are What we suggest How to start now
You have an ERP and want to keep it Keep it. Orders and books stay in your ERP; the shop floor, approvals and documents move into Cardo Maximus first. Switch later and orders, purchasing and accounting are already in the same system, so nothing migrates twice. Shop floor, approvals and documents first; orders and books connect through imports, exports and data links, whatever the brand
No ERP, or ready to replace it Move everything over. Orders, purchasing and accounting sit on the same data as production orders, shop-floor reporting and inspections. The transaction and finance core arrives in Q1 2027; statutory tax filing and payroll run alongside your existing accounting and payroll software for now and come later. Shop floor and approvals first; your data carries over when orders, purchasing and accounting connect

Quote to cash on one document

Quote, order, partial shipments, invoice and payment matching stay on one document; when the customer asks where things stand, sales looks it up. When a customer goes over their credit limit, the system holds the order until a manager reviews and approves it.

  • Quote to order to shipment to invoice to payment on one document
  • Credit limit checks with manager override (available now, on Customers & opportunities)
  • Statements, aging and open items export to Excel

Requisition to payment with three-way matching, so nothing slips

Requisitions, supplier quotes awarded line by line, POs and revisions, scanned receiving tied to lot numbers; supplier invoices matched three ways against PO and receipt, with tolerances you set. Every PO line keeps the supplier's promised date, so when the floor asks when material arrives, there's an answer.

  • Supplier quotes awarded line by line
  • Scanned receiving with inspection opened right after
  • Three-way invoice matching with tolerances you set
  • Port, freight and exchange-rate information right next to the PO

Month-end has a workbench; statements any time

GL accounts follow the item category and journal entries post themselves; the month-end workbench runs the closing checks, and balance sheet, income statement and aging are available any time. Expense claims go straight into approvals; a chart of accounts comes built in.

  • Journal entries created automatically
  • Month-end workbench with closing checks
  • Balance sheet, income statement and aging
  • Expense claims into approvals
  • Each company reports separately
  • Currencies and exchange rates set up and revalued

FAQ

  • Is this an ERP? How is it different from basic inventory and invoicing software?

Yes. Basic inventory and invoicing software handles buying, selling and stock; this adds the general ledger, month-end close and financial statements, on the same data as production orders, shop-floor reporting and inspections.

  • What about tax filing, e-invoicing and payroll?

Statutory tax filing and payroll run alongside your existing accounting and payroll software for now and come later: VAT return filing (in Taiwan that means 401 returns and media files), withholding statements, labor and health insurance and pension contributions, payroll and pay slips, fixed assets and depreciation, bank reconciliation and checks, group consolidated reporting, and government e-invoicing with credit notes. The localized pieces are built for Taiwan first; wherever your plant is, filing and payroll stay in the software you use today. Cardo Maximus handles the documents, stock, receivables, payables and month-end close, then exports statements, aging and ledgers to your accountant or accounting software.

  • Our books are done by an outside accountant. Will this get in their way?

No. Statutory tax filing and payroll run alongside your existing accounting and payroll software; your accountant receives documents the way they always have, plus statements, aging and ledgers that reconcile.

  • Two companies, three sites, maybe in different countries, and the books have to stay separate. Can it handle that?

Yes. Several companies and sites are managed separately in one system, each with its own reports, and the owner sees everything with one login. Currencies and exchange rates can be set up and revalued, and each user sets their own time zone.

  • Can sales see stock and the schedule while quoting?

Yes. Quotes, orders, production orders, scheduling and stock are one set of data, so while quoting you know whether material is there and how loaded the lines are; exceeding a customer's credit limit requires an exception approval.

  • How is it priced?

Pricing follows a free assessment, based on your size and the scope you want to roll out.
